Turnkey International Logistics: What You Need to Know Before Shipping Cargo

International cargo transportation is a more complex process than simply “loading a truck and driving.” Delays, additional costs, and cargo losses most often occur not on the road, but even before shipment: due to improperly prepared documents, the wrong type of transport, or lack of insurance. Here’s what should be considered in advance.

What Determines the Cost of International Transportation

There is no single fixed price for international delivery — the cost is calculated individually for each route. The main factors are:
  • Distance and route. Poland — 2–3 days, Spain — 5–7 days, Turkey — 3–5 days, Kazakhstan — 7–10 days. The longer and more complex the route, the higher the rate.
  • Type of transport. Curtain-side truck (5–22 tons, 40–120 m³) — base rate. Refrigerated truck (3–20 tons, 30–80 m³) — more expensive due to equipment and temperature control. Oversized cargo platform (up to 80 tons) — individually calculated with special permits.
  • Weight and cargo volume. Consolidated shipments starting from 100 kg are cheaper than full truckload shipments — you only pay for the space your cargo occupies.
  • Urgency. Standard delivery and urgent delivery (priority route without intermediate stops) differ in price.
  • Customs clearance. If documents are prepared before shipment, the cargo crosses the border without delays. Otherwise, each day of customs downtime increases costs.

Documents for International Transportation: Checklist

Most border delays happen because of documentation errors, not because of the carrier. The standard package for international road freight transportation includes:
  • ✅ CMR waybill (international consignment note)
  • ✅ TIR carnet — for transit through multiple countries
  • ✅ Invoice with cargo description and value
  • ✅ Packing list
  • ✅ Customs declaration
  • ✅ Certificate of origin — for certain categories of goods
  • ✅ Phytosanitary or veterinary certificate — for food and plant products
  • ✅ Special permits — for dangerous, oversized, or heavyweight cargo
Ukrautologistic prepares the full set of documents before shipment. Managers support the cargo throughout all customs stages — from declaration processing to delivery confirmation.

Cargo Insurance for International Transportation

The carrier’s CMR liability covers damages only to a limited extent — generally no more than 8.33 SDR per kilogram of cargo weight. For cargo worth more than several thousand euros, this coverage is insufficient.Full cargo insurance is arranged before shipment and protects against:
  • cargo damage or loss during transportation
  • accidents and road incidents
  • theft during parking and transshipment
  • losses caused by force majeure
We help arrange insurance during the preparation stage — so your cargo is protected long before the truck leaves the loading site.

GPS Tracking and Real-Time Document Management

Ukrautologistic uses GPS tracking and an electronic document management system: you can see where your cargo is at any moment. More than 120 optimized international routes and 16 years of experience allow us to anticipate delays and reroute shipments before a problem becomes critical. Leave a request — our manager will clarify the cargo details and provide a quotation for your route.

Frequently Asked Questions

1How Much Does International Cargo Transportation from Ukraine Cost?

The cost of international cargo transportation depends on four factors: route and distance, type of transport, cargo weight and volume, and urgency. Ukrautologistic Group offers international road freight transportation rates starting from €0.4/km for consolidated shipments and from €0.7/km for full truckload deliveries on Ukraine–Western Europe routes. The exact price is calculated individually, as customs clearance, cargo insurance, and return load availability also affect the final cost.

2What Documents Are Required for International Cargo Transportation?

International road freight transportation requires a standard package of documents: a CMR waybill (international consignment note), TIR carnet for transit through multiple countries, invoice, packing list, and customs declaration. For certain categories of goods, additional documents may be required, including a certificate of origin, phytosanitary or veterinary certificates, and special permits for dangerous, oversized, or heavyweight cargo. The international logistics department of Ukrautologistic Group prepares the full documentation package before shipment and supports the cargo through all customs procedures.

3How Long Does Cargo Delivery to Europe Take?

International road freight delivery times depend on the destination: Poland — 2–3 days, Germany — 3–5 days, Turkey — 3–5 days, France and Spain — 5–7 days, Norway and the United Kingdom — 5–7 days, Kazakhstan — 7–10 days. These delivery times apply when all documents are properly prepared and there are no customs delays. Ukrautologistic Group operates more than 145 optimized international routes, helping minimize transit time and predict possible delays in advance.

4What Is a TIR Carnet and Why Is It Needed for International Transportation?

A TIR carnet is an international customs document used within the TIR system (Transports Internationaux Routiers), allowing cargo to pass through multiple countries without repeated customs inspections at every border. The TIR system operates in more than 70 countries worldwide. With a TIR carnet, the truck passes customs inspection only once at departure, while further transit takes place under customs guarantee. This significantly reduces border crossing time and lowers the risk of delays. As a member of FIATA and AMEU (Association of International Freight Forwarders of Ukraine), Ukrautologistic Group arranges TIR carnets for all international routes.

5Is Cargo Insurance Mandatory for International Transportation?
Cargo insurance is not legally mandatory for international transportation, but it is financially justified. The carrier’s CMR liability covers damages only within limited amounts — generally no more than 8.33 SDR (Special Drawing Rights) per kilogram of cargo weight. For cargo worth more than several thousand euros, this coverage is insufficient. Full cargo insurance protects against damage, loss, theft, and force majeure throughout the route. Ukrautologistic Group helps arrange cargo insurance during the shipment preparation stage.
6What Is the Difference Between Consolidated Cargo (LTL) and Full Truck Load (FTL)?
FTL (Full Truck Load) means a truck is fully loaded by one shipper. It is suitable for large shipments starting from 5 tons or when the cargo occupies more than half of the trailer space. LTL (Less than Truck Load), or consolidated cargo, means the shipper pays only for the actual space and weight occupied by their cargo, while the remaining space is shared with other clients’ goods. Consolidated shipping is cost-effective for cargo batches from 100 kg to 3–4 tons. Ukrautologistic Group provides both FTL and LTL international transportation across 145+ routes in 50+ countries.
7How Can I Track Cargo During International Transportation?
During international transportation, clients of Ukrautologistic Group receive access to real-time GPS tracking. The system allows you to monitor the cargo location throughout the entire route — from departure in Ukraine to arrival at the destination. At the same time, electronic document management provides updates on customs clearance and delivery status. Managers of the international transportation department are available during business hours (Mon–Fri, 9:00–17:00) for оперативних questions.
8How to Choose a Reliable International Freight Carrier?
When choosing an international freight carrier, you should verify the company’s international transportation license, membership in professional organizations (FIATA, AMEU, EBA), experience on your specific route, availability of its own truck fleet, cargo tracking systems, and reviews from corporate clients. Ukrautologistic Group is a member of FIATA, EBA, Project Cargo Network, and AMEU, operating since 2010 with 570+ corporate clients and more than 145 optimized international routes. The company is a recipient of the Ukrainian Business Award (“Business of the Year 2023”) and the Ukrainian Logistics Award 2024.
9Does Ukrautologistic Provide Customs Clearance Services?
Yes, Ukrautologistic Group provides turnkey customs clearance services, including preparation of customs declarations, CMR waybills, and TIR carnets, as well as consultations on товар classification according to UKT ZED codes. Customs support is provided at every stage — from document preparation to confirmation of customs clearance. Thanks to its own documentation support department and 16 years of experience, the company minimizes the risk of cargo delays at the border.
